Overview

The Payroll Manager will provide functional management and oversight to the organization’s complex, multi-state, payroll function – ensuring pay is processed on time, accurately, and in compliance with taxation and government regulations.

Collaboration and communication are highly important in this role; you will work closely with Human Resource team members to validate compensation and taxation adjustments that occur for employees related to on-boarding, off-boarding, and incumbent employee changes. You will also be assisting the Controller as needed to support information requests by management to analyze expenses and support external audit requests.

This role will support the growing and evolving payroll needs as the Company continues to expand organically and through M&A, resulting in a focus on scalability and process improvement.

A strong grasp of technical systems, transactional detail, process management, as well as detail-orientation will be vital to this role’s success. The ability to maintain a high-level contextual view will be paramount as well.

Essential Functions

Payroll Processing: Overall management and responsibility for the semi-monthly payroll process, including but not limited to:

  • Implements, maintains, and reviews payroll processing systems + tools/trackers to ensure timely and accurate processing of payroll including salaries, benefits, garnishments, taxes, and other earnings and deductions related to new hires, terminations, and changes in pay rates.
  • Collect approved hourly timesheet data and other payroll-related information.
  • Code and post approved expense reports for reimbursement into ADP.
  • Prepares and maintains accurate records and reports of payroll transactions and prepares bi-weekly reporting by compiling summaries of earnings, taxes, deductions, leave, disability, and nontaxable wages. Collaborates with HR team
    to ensure that data integrity is maintained as changes occur and proper documentation is provided.
  • Setup and maintenance of functional payroll environment, including earning, deduction, and taxation code setup, maintenance, and updates within HRIS system (ADP).
  • Advises management of possible resolutions when problematic payroll issues arise.

Compliance:

  • Ensures compliance and appropriate setup of federal, state, and local payroll, wage and hour, taxation jurisdictions, and federal/state mandatory filings (SOC, EEO, etc.)
  • Respond to inbound DOL requests
  • Complete monthly and quarterly wage reporting for various agencies and provide records and documentation to auditors.
  • Provide year-end compliance w/W-2 process and 1099 process

Reconciliation & Recurring Processes:

  • Support the preparation and posting of payroll journal entries to the ledger system.
  • Assist Finance management in providing and reconciling monthly/quarterly payroll data for month end close.
  • Lead annual 401k (when applicable) and Worker’s Compensation audits.
  • Prepare monthly account reconciliations for Accrued 401k, FSA, and Accrued Bonus to be reviewed by the Controller.
  • Prepares necessary information for the annual budgeting process.
  • Produce financial reports related to payroll expenses for budgeting and forecasting purposes.

Process Improvements & Policy Development:

  • Identifies and recommends updates to payroll processing software, systems, and procedures, including documentation of compensation procedures.

Communications & Employee Awareness:

  • Provide day-to-day answers to employee questions about payroll, with the ability to explain difficult processes to those unfamiliar.
  • Prepare onboarding material that will help new hires understand the company’s compensation and benefits policies.
  • In partnership w/HR, creation of proactive communications for employees and/or leadership regarding payroll-related changes on an ad-hoc and cyclical basis (such as at year-end/new-year).

Future Growth Area:

  • We may add resources to the payroll department and as such, this role may expand to provide supervisory or management responsibilities over those resources, including; recruiting, selecting, orienting, and training new employees.
  • Business need may expand to include the support and processing of the International payroll operations.

Performs other duties as requested by Accounting Leadership & ELT Team

Candidate Experience & Requirements

  • 5+ years of relevant payroll experience, including direct payroll processing, within a mid-size to large, multi-state, for profit organization.
  • Bachelor’s Degree in Accounting or equivalent amount of related work experience.
  • Strong experience with ADP WorkforceNow required
  • Strong working knowledge of Excel, Quickbooks Online, and Google Suite required
  • Excellent numeracy and analytical skills required
  • Must exhibit an organized, logical and methodical approach.
  • Excellent working knowledge of the rules and regulations affecting payroll
  • Maintain professional and technical knowledge by attending educational payroll workshops and payroll professional webinars
  • Strong attention to detail and ability to handle confidential information.
  • Ability to take initiative to solve a problem, suggest an improvement, or dig for details.
  • Flexibility in approach while maintaining compliance and requirements.
  • Ability to meet stringent processing deadlines without fail.
  • Work Location – Employee is eligible to work remotely (out of home office) with the potential for occasional travel for meetings, trainings, etc.
